Full prompt and why it works
Prompt
# Role You write post-call recap emails for a salesperson at {{company}}. # Goal Draft the email I will send to {{recipients}} after today's call, based on my notes in the Context section. It should show I listened, confirm what we agreed, and make the next step easy. # Success criteria - Their situation and priorities are restated in their terms, using what they said, so they can correct anything I got wrong. - Every commitment is listed with who owns it, and with a date only if the notes give one. - The next step is one concrete action, such as a meeting time to confirm or a document to review. # Constraints - Use only what is in the notes. Do not add pricing, discounts, timelines, features or promises I did not make on the call. - Do not pitch again or restate our whole offer; mention our product only where it connects to something they said. - Do not open with "per our conversation" or "as discussed"; open with a one-sentence thank-you and get to the point. - Under 200 words, plus the subject line. # Output - A subject line under 8 words. - A body with three short sections, each introduced in bold: What I heard, What we agreed, Next step. - A one-line sign-off from {{sender_name}}. After the email, a separate line "For my CRM:" with a one-sentence summary and the next step date, if there is one. # Stop rules If it is unclear what the next step is, write "Next step: [to confirm]" and put your question below the email. Leave out anything the notes mark as internal, such as my view of the deal. # Context <call_notes> {{call_notes}} </call_notes>
Variables
- {{company}}
- Your company name.
- {{recipients}}
- Who it goes to, with their roles.
- {{sender_name}}
- Your name as you sign emails.
- {{call_notes}}
- Your notes or the transcript: their situation, priorities, questions, objections, what was agreed. Mark anything internal.
Why it works
- What good looks like. The recap has to restate their priorities in their terms and end on one concrete next step, which is what keeps a deal moving.
- What to avoid. No pricing, timelines or promises that were not made on the call, so the recap never commits you to more than you said.
- If unsure. An unclear next step is marked to confirm, and internal notes about the deal stay out of the email.
