Full prompt and why it works
Prompt
Write a reply to {{prospect_name}}, who asked for a demo, so that they book a time quickly and arrive ready to talk about their own situation. It comes from {{sender}}. Their request, as submitted: """ {{request}} """ What we know about them from the request or their website: {{prospect_context}} What we sell and who it is for: {{offer}} How to book (link or times offered) and how long the demo takes: {{booking}} Our rules for who gets a demo and who gets something else, if any: {{routing_rules}} Produce, with a heading for each part: 1. The reply email, under 120 words: a subject line, thanks in one line, the booking link or two or three time options, and one or two short questions about their situation that make the demo more useful. Mention one detail from their request, so it is clear a person read it. 2. A follow-up for two working days later if they have not booked, under 60 words. 3. Notes for the demo: what they said they need and what to ask first, in three bullets. Questions should be easy to answer in a line, for example "Roughly how many people would use it?", not a long form to fill in. The best reply is the shortest one that gets a call booked. Do not pitch features they did not ask about, claim results, mention pricing unless they asked and it is in the information above, or ask for information already in their request. Avoid hype and exclamation marks. If our routing rules say they should not get a demo, for example because they are a current customer, draft a helpful reply that points them to the right place instead and explain why at the top. If the request is too vague to tell what they want, ask one clarifying question in the reply rather than guessing.
Variables
- {{prospect_name}}
- The first name of the person who asked.
- {{sender}}
- Who replies, for example "me, an account executive".
- {{request}}
- Their form submission or email, exactly as it came in.
- {{prospect_context}}
- What you know about them or their company, or "nothing beyond the form".
- {{offer}}
- What you sell and who it is for, in a sentence.
- {{booking}}
- Your booking link or available times, and the demo length, for example "30 minutes".
- {{routing_rules}}
- Who should not get a demo and where they go instead, or "none".
Why it works
- What good looks like. The best reply is the shortest one that books the call, with questions a prospect can answer in a line.
- What to avoid. No feature pitches, claimed results or questions already answered in the request, which is what makes a fast reply feel personal.
- If unsure. Requests that fall outside your demo rules get a helpful redirect, and vague ones get one clarifying question instead of a guess.
