Full prompt and why it works
Prompt
<change>
Business: {{business_name}}
What is changing: {{price_change}}
Effective date: {{effective_date}}
Reason, in my words: {{reason}}
Anything that softens it: {{what_softens_it}}
</change>

<audience>
{{customers}}
</audience>

<constraints>
- State the change, the old and new prices if I gave them, and the date within the first three sentences. Customers should not have to hunt for the number.
- Give the reason in one or two plain sentences, from what I wrote. Do not inflate it or add causes I did not mention.
- Mention only offers, held prices or extra value that I listed. Do not invent discounts, new features or improvements.
- No over-apologizing, no "exciting news", and no exclamation marks.
- Tell customers how to ask questions, using: {{contact}}.
</constraints>

<format>
1. Email: a subject line that names the change, for example "Our prices are changing on [date]", then a body of 100 to 180 words, signed by {{signer}}.
2. A short version of under 50 words for a sign in the shop, a social post or a website banner.
</format>

<task>
Using the details above, write a price increase notice for our customers. It should read as straightforward and respectful, the way you would tell a regular customer face to face. If the effective date or the new price is not given, write [date] or [price] where it belongs and say so at the top, rather than guessing.
</task>

Variables

{{business_name}}
Your business name.
{{price_change}}
Which products or services change, with the old and new prices if you will share them.
{{effective_date}}
When the new prices start.
{{reason}}
The real reason, in a sentence or two.
{{what_softens_it}}
For example "current prices held for bookings already made", or "nothing".
{{customers}}
Who receives it, for example "regular clients of a hair salon".
{{contact}}
How customers can ask questions.
{{signer}}
Who signs it, for example the owner's first name.

Why it works

  • Format. The change, the price and the date come within the first three sentences, plus a short version for a sign or a post, so the notice works wherever customers see it.
  • What to avoid. No invented reasons, discounts or improvements, because customers notice when a price notice dresses itself up.
  • If unsure. A missing date or price is marked in the draft and flagged at the top, never guessed.

How to use it

  1. Press Fill in variables and type your details into each blank. What you type stays in this browser.
  2. Copy the filled prompt into the AI tool you already use, such as ChatGPT, Claude or Gemini, or open it in the Grader or the Prompt Tester here.
  3. Before you rely on it, try it on three or four real examples. The Prompt Tester runs them all at once and shows which ones go wrong.
