Full prompt and why it works
Prompt
Help me plan a work event so nothing is forgotten. I need a timeline, a task checklist, budget lines and a plan for the day itself.

Event: {{event}}
What it should achieve: {{purpose}}
Date and place: {{date_and_place}}
Attendees: {{attendees}}
Budget, and what it must cover: {{budget}}
Already arranged: {{already_arranged}}
Rules or approvals that apply (company policy, expenses, travel): {{rules}}

Produce:
1. Timeline checklist, working backward from the event date in stages: 8 or more weeks before, 4 to 6 weeks before, 2 weeks before, the week of the event, the day itself, and the week after. Each item starts with a verb and has an Owner, set to "[to assign]" unless my notes name someone. Skip anything already arranged.
2. Budget lines: a table with the columns Item, What drives the cost (for example per person or a flat fee), and Amount. Fill in Amount only from figures I gave; otherwise write "to quote". Include a contingency line, and show whether the known costs fit the budget.
3. Run of show: a timed schedule for the day, from setup to cleanup, with who is responsible for each slot.
4. Easy to forget: venue accessibility, dietary needs and alcohol-free options, timing that works for remote or caregiving attendees, possible clashes with public or religious holidays (flag them to check, do not assume), photo consent, and a plan for illness or bad weather.
5. Open questions: decisions I still need to make, most urgent first.

Keep it practical and scannable: checklists and tables, not paragraphs of advice, with each checklist item on one line.

Do not invent prices, suppliers, venues or availability. If the date or budget is not set yet, use relative dates such as "event minus 6 weeks" and say so at the top. Anything that may need approval, such as alcohol, travel or gifts, should be flagged for me to check with whoever approves it.

Variables

{{event}}
What it is, for example "a one-day team offsite" or "an end-of-year celebration".
{{purpose}}
What it should achieve, for example "plan next year and help the new team get to know each other".
{{date_and_place}}
The date and venue, or "not booked yet".
{{attendees}}
How many, who, and any needs you already know about.
{{budget}}
The total and what it must pay for, or "not set".
{{already_arranged}}
What is booked or decided, or "nothing yet".
{{rules}}
For example "no alcohol on expenses" or "events above a set cost need director approval". "None known" is fine.

Why it works

  • Format. A backward timeline, a budget table and a run of show cover the three ways events usually go wrong: late bookings, overspending and a confused day.
  • What to avoid. Prices and suppliers are never made up; amounts you have not been quoted say "to quote", so the budget only shows real numbers.
  • If unsure. With no date or budget set, it plans in relative weeks and says so, and anything needing approval is flagged rather than assumed.

How to use it

  1. Press Fill in variables and type your details into each blank. What you type stays in this browser.
  2. Copy the filled prompt into the AI tool you already use, such as ChatGPT, Claude or Gemini, or open it in the Grader or the Prompt Tester here.
  3. Before you rely on it, try it on three or four real examples. The Prompt Tester runs them all at once and shows which ones go wrong.
