Full prompt and why it works
Prompt
Write a reply to {{requester}} about their budget request, for me to send from the finance team. We cannot fund all of it. The reply should make the decision and the reasons clear, show what can be funded, and leave a fair path to ask again, so they can plan with real numbers instead of arguing about the answer.

Their request:
"""
{{request}}
"""

What we can fund, and the decision behind it: {{decision}}
Reasons I can share (company targets, cash, other priorities), in the words I am comfortable with: {{constraints}}
What they would need to show to get more later: {{conditions}}

Write:
1. An email of 150 to 250 words. Give the decision in the first two sentences, including the amount approved against the amount requested. Then give the reasons in one short paragraph, list what is funded and what is not (bullets are fine here), and end with how and when they can ask again, followed only by a sign-off.
2. Under the email, a table with the columns Line requested, Amount requested, Amount approved, Note, using only lines from their request. Check that the columns add up to the totals in the email.

The tone should be direct and respectful, like a colleague explaining a hard constraint, for example "We can fund the two contractor roles from April, but not the new software this year." Do not apologize repeatedly, praise the request in vague terms, or hint that the decision might change if they push.

Use only the figures and reasons above. Do not invent company targets, savings or deadlines, and do not share any reason I have not listed as shareable.

If the request does not show how an amount was worked out, my decision does not say what happens to one of their lines, or my approved total does not equal the lines I approved, ask me about it in a note above the email. Still write the draft, using the sum of the approved lines and [CHECK: ...] wherever an answer is open.

Variables

{{requester}}
Who asked for the budget, for example "Dana, head of marketing".
{{request}}
Their budget request, with the lines and amounts they asked for.
{{decision}}
What you will fund, line by line if possible, for example "approve 40,000 of 65,000: contractors yes, new tool no".
{{constraints}}
The reasons you are willing to share, in your own words.
{{conditions}}
What would let them ask again, for example "show the pilot cut lead cost by 20% by June".

Why it works

  • What good looks like. The decision and both amounts come in the first two sentences, and the table must add up to them, so a department head cannot miss or misread the answer.
  • An example. One example sentence shows the plain, specific way to say what is and is not funded, which sets the tone better than a tone label.
  • If unsure. A total that does not match the approved lines, or a line with no decision, is asked about in a note while the draft still gets written with a marked gap.

How to use it

  1. Press Fill in variables and type your details into each blank. What you type stays in this browser.
  2. Copy the filled prompt into the AI tool you already use, such as ChatGPT, Claude or Gemini, or open it in the Grader or the Prompt Tester here.
  3. Before you rely on it, try it on three or four real examples. The Prompt Tester runs them all at once and shows which ones go wrong.
